Clare Reynolds Vacation Rentals is a vacation rental business operated by Clare Reynolds as a sole proprietor, based in Gold Beach, Oregon. This policy explains what this website collects, who receives it, and what you can do about it.
It is written to describe what this site actually does. If we add a service that collects more, we will update this page before switching it on.

What this policy covers
This policy covers this website only, clarereynoldsvr.com.
Several of our homes are also listed on Airbnb. When you follow a link from this site to an Airbnb listing, you leave our site, and Airbnb's own privacy policy governs everything you do there. We do not receive your Airbnb account information, and we cannot see or control what Airbnb collects.
If you call or text us to arrange a stay, that conversation happens on the phone network, not on this website, and this policy does not govern it.
Information you give us
We receive personal information from this website when you choose to send it through one of our three forms. The site also collects some information automatically, described in the next section.
The contact form (the general question form) asks for your name, your email address, and whatever you write in the message. We use it to answer you. That is all.
The quote request form, on each home's page and on the contact page, asks for the home you are interested in, your dates, the number of adults, children and pets, your name, email address and phone number, a discount code if you have one, and anything you want to tell us. It also offers an optional checkbox to receive text messages about your booking. We use the form to answer your request.
This form is provided by a third-party reservation and payment service and is displayed within our pages. It is not hosted by us. What you enter is received by that service and passed to us, and the service's own privacy policy and terms apply to it. Its privacy policy is linked from inside the form. Loading the form also shares ordinary browser connection information, such as your IP address, with that service before you submit anything.
Text messages. If you tick the text message box in the quote request form, you agree to receive booking-related text messages from Clare Reynolds Vacation Rentals at the number you entered. Consent is optional and is not a condition of booking. Message frequency varies, and message and data rates may apply. Reply STOP to stop messages or HELP for help. We do not use your number for marketing.
The Text Clare button. On a computer, this button shows a QR code that is made in your browser. Scanning it opens a text message on your own phone, with a note already filled in from your selections on the site (such as the home and dates). We receive nothing unless you choose to send that message from your phone.
The property management enquiry form, for homeowners interested in our management service, asks for considerably more, because we need it to give you a useful answer:
- your name, email address and phone number, and how you prefer to be contacted
- your property's address, including city, state and postcode
- details of the property, its type, size, year built, how many bedrooms and bathrooms it has, how many people it sleeps, its features, parking and any HOA restrictions
- how it is currently run, whether it is already a short-term rental, who manages it now, how it has been performing, which platforms it is listed on, any bookings already taken, and when you would want to start
- anything else you choose to tell us
We use this only to respond to your enquiry and to discuss whether we can work together. Your property's address is personal information, and we treat it that way: we do not publish it or use it for anything other than answering you. The form is delivered through Formspree, described below.
We do not require you to create an account, and this website has no account to create. We do not take payments or card details on this site.
Information collected automatically
Google Analytics. We use Google Analytics to understand how visitors use this site: which pages are viewed, roughly where visitors are located (city or region, not street address), what kind of device and browser they use, how they arrived (for example from a search engine), and when someone starts a quote request. Google Analytics sets cookies in your browser to recognise repeat visits, and Google receives your IP address and these usage details. We see only combined reports, not who you are.
We have switched off Google's advertising features for this site, so this data is not used for advertising, remarketing or ad personalisation, and we do not combine it with anything you send us through our forms. We do not use session recording or screen replay tools.

Map tiles. Our map pages load satellite imagery from Esri. When a map appears, your browser requests those image tiles directly from Esri's servers, which means Esri receives your IP address and can see which map areas you are viewing. We do not send Esri anything else, and we receive nothing back from them about you.

Videos. One home page can show a video from YouTube. It loads in privacy-enhanced mode (youtube-nocookie.com) and only after you click play. When it loads, YouTube receives your IP address and is governed by Google's privacy policy: https://policies.google.com/privacy
Hosting. The site is delivered by a web hosting provider, whose servers receive standard connection information, such as your IP address and the pages you request, when you visit.
Our fonts are self-hosted. They are served from our own site, so displaying this page sends nothing to a font provider.
Information stored in your browser
The site uses your browser's own storage to make its features work. It remembers your search (dates and guests), your filters, the homes you have selected to compare, and any homes you have saved. Filters and some search details last for your browsing session. The compare list can last until you clear it.
This information stays in your browser. We do not receive it or collect it. The only cookies on this site are the Google Analytics cookies described above. You can remove everything the site stores by clearing your browsing data for this site.
Who else receives your information
Formspree delivers the contact form and the property management enquiry form. When you submit one of those, its contents pass through Formspree, which stores the submission and forwards it to us by email. Formspree's privacy policy: https://formspree.io/legal/privacy-policy/
A third-party reservation and payment service provides the quote request form on our home and contact pages. Details you enter in that form are received by the service, which holds them on our behalf and forwards your request to us. If you later choose to move ahead with a stay, that service may also handle payment. Its privacy policy is linked from within the form.
Google Analytics (Google), as described above, for visitor statistics.
Esri, as described above, for map tiles.
YouTube (Google), as described above, only if you play a video.
Our web hosting provider, as described above, which delivers the site.
We do not sell or share your information with anyone else. If that changes, we will update this page first.
What we do not do
- We do not sell your personal information, and we never have.
- We do not share it with advertising networks or data brokers.
- We do not use it for advertising, retargeting, or profiling.
- We do not use session recording or screen replay tools.
- We do not send marketing email from this website. We reply to enquiries you send us. Text messages are only sent if you opted in, and only about your booking.
How long we keep things
We keep form submissions and the correspondence that follows for as long as needed to answer you and to keep a record of the enquiry, and longer where we need to for tax or legal reasons. The reservation service keeps what you enter in its form under its own policy. You can ask us to delete your enquiry at any time, and we will, except for records we are required by law to keep.
Your choices
You can opt out of Google Analytics on every site that uses it with Google's opt-out browser add-on: https://tools.google.com/dlpage/gaoptout. Blocking or clearing cookies in your browser, or using a content blocker, also stops it. The site works the same either way. You can use the same settings to limit what other services (such as maps and videos) can see.
You can clear stored preferences by clearing your browser data for this site.
You can ask us what we hold about you, ask us to correct it, or ask us to delete it, by emailing clarereynoldsvr@proton.me. We will respond within a reasonable time and will not charge you.
Oregon's Consumer Privacy Act grants Oregon residents rights over their personal data. That law applies to businesses above certain size thresholds, and we believe a business of our size falls below them, so it may not currently impose those obligations on us. We honour access, correction and deletion requests from anyone anyway, including California residents, because it is the right way to treat people who contact us.
Children
This site is intended for adults arranging travel. It is not directed to children under 13, and we do not knowingly collect their personal information. If you believe a child has sent us information, email us and we will delete it.
Visitors from outside the United States
We operate in the United States, and information you send us is processed here. United States privacy law may offer less protection than the law where you live. If you are in the United Kingdom or European Economic Area and would like your information removed, email us and we will do it.
Changes to this policy
If we change what we collect or who receives it, we will update this page and change the date at the top. Meaningful changes will be described here rather than quietly folded in.
